Replying to negative reviews: the Insta-Resolve method in 5 steps
A well-handled 1-star review convinces more than ten 5-star ones. How to reply, when, and how to catch the problem before it goes public.

A negative review is an opportunity
88% of consumers read owner replies; 45% say a professional reply to criticism increases trust. Readers look at how you behave when things go wrong.
1. Reply within 24 hours, never in anger
Write, wait an hour, reread as a stranger. Sign with your name.
2. Thank, acknowledge, don't justify
Three sentences: thanks; specific acknowledgement; what you did or will do. Facts sound like solutions, excuses sound like excuses.
3. Take it private
Offer a direct contact. Don't promise refunds publicly. Many customers update their review after a good private resolution.
4. Catch the problem BEFORE the review
Insta-Resolve adds a private 'Had a problem? Talk to us' channel on the card's review page. You get an e-mail immediately and 24 hours (with reminder) to fix it. The customer stays free to post on Google at any time — no gating.
5. Flag only truly illegitimate reviews
Google removes fake, offensive or conflicting reviews, not honest negative opinions. The best defence is volume: more recent authentic reviews from the card.
